DUTIES AND FUNCTIONS OF VARIOUS COMMITTEES

EXAMINATION COMMITTEE

Functions

  • To finalise the programmes for conducting internal and Test examinations of each semester/year.
  • To conduct final University theory/Practical examinations in the college smoothly.
  • Responsible for the due custody of the records pertaining to his/her work
  • To ensure that the mark lists (Internal/External) are submitted by the teachers to the Examination Section/ dealing clerk by due dates and the Statement of Marks are given to the Students / Parents within the stipulated time.
  • To ensure that final year mark sheets are issued only to such students who produce a clearance certificate from the concerned authorities
  • To report progress of students to their parents and to prepare result analysis record (Batch-wise/ course wise) and submit the same to the IQAC Committee.

DISCIPLINE COMMITTEE

Functions

  • The Discipline Committee shall be an advisory body to regulate and enforce discipline among the students and employees of the college and to take appropriate steps whenever necessary.
  • The Discipline Committee shall investigate and consider all the matters relating to discipline of students and employees of the college and shall place their recommendations before Principal for approval.

LIBRARY COMMITTEE 

Functions

  • The Library Committee shall formulate policies pertaining to purchase and procurement of books, journals, magazines, periodicals, furniture, equipment and stationeries required for the library and reading room.
  • Library Committee shall make regulations regarding issue and return of books, etc.
  • To acquire books for the book bank and distribute to the deserving students
  • The Library Committee shall recommend proposals for weeding out irrelevant stock and introducing new material for approval of the Principal/Governing Body.
  • The Library Committee shall submit proposal for modernising and computerising Library.
  • The Library Committee shall be responsible for smooth running of Library.
  • To maintain the records of the activities conducted and submit the same to the
    IQAC Committee

ADMISSION COMMITTEE

Functions

  • To formulate the general policy of admission in consistent with the Admission rules of the Government and University of North Bengal.
  • To call for application and fix the last date of admission.
  • Verification of documents/certificates
  • To interpret the rules of admission and fix the procedure of admission.

Meeting

  • The Admission Committee may meet at any time as necessary, but the meeting must be atleast once prior to the start of the admission process.

THE STUDENTS WELFARE COMMITTEE 

Functions

  • The main objective of SWC is to identify and encourage creative talents, inculcate a spirit of discipline, leadership, social awareness and promote physical and mental development among the students.
  • To conduct competitions in creative, cultural literacy, sports and general awareness activity in consultation with cultural committee.
  • To organise social welfare activities and recommend the names of needy students to the Principal for financial assistance.
  • To ensure cleaning and maintenance of building, toilets, garden, electrical fittings, provision of sufficient drinking water in the college, to supervise services of college canteen, First Aid Center etc.
  • To see that there is a First Aid Room with all the basic facilities in case of emergency.
  • To maintain the records of the activities conducted and submit the same to the
    IQAC Committee

 GRIEVANCES AND APPEALS COMMITTEE

It shall be the duty of the members to ensure that there is appropriate redressal of any grievance filed by any student.

Functions

  • To Scrutinize, investigate and consider all petitions/complaints/grievances of the student and employees of the college or those submitted by the guardians or local people and place their considered opinion to the Principal (Placing before the Governing Body for discussion, If need arises).
  • To identify potential areas of errors in the system as a whole and suggest preventive/remedial measures in form of resolution to the Principal for consideration and for further approval of the Governing Body.
  • The committee is to ensure that there is no discrimination amongst students based on caste or creed, or gender or any other reason.
  • To maintain the records of the activities conducted and submit the same to the
    IQAC Committee

ACADEMIC COMMITTEE

Functions

  • To arrange symposia, seminars on topics of local, national and international interest.
  • To scrutinize student attendance and to award marks against their attendance.
  • To motivate and guide the students for filling-up registration and examination form (Admit) in time and to follow up the defaulters
  • To prepare result analysis record (Department-wise)
  • To prepare the Academic Calendar and get it approved by the Principal
  • To create awareness among the Students and the staff about the need for protection of natural habitat.
  • To invite speakers to talk on environmental protection.
  • To maintain the records of the activities conducted and submit the same to the
    IQAC Committee

PURCHASE COMMITTEE

The purchase committee shall deal with all matters pertaining to all purchases of the college. 

Functions

  • To analyse quotations provided by the reputed firms, and provide recommendation for approval of the Principal.
  • To ensure all documentation is accurately completed.
  • Seeking clarification from suppliers/service providers where necessary.
  • To request technical input from relevant staff as required.
  • In certain contexts, it may be appropriate for some or all members of the PC to be directly involved in the collection of quotations
  • Ensuring  transparency, accountability and fairness in the procurement process
  • Ensuring all relevant documentation is prepared prior to PC meeting
  • Involvement in the evaluation discussion

SEXUAL HARASSMENT PREVENTION CELL

Sexual Harassment has been defined as: An act of sexual harassment includes any one or more of the unwelcome acts or behaviour, whether directly or by implication:

i.Physical contact and advances; or

  1. A demand or request for sexual favours; or

iii. Making sexual coloured remarks; or

  1. Showing pornography; or
  2. Any unwelcome physical, verbal or non-verbal conduct of sexual nature.

Functions

  • To ensure enough steps are taken to create awareness on the topic.
  • If in case any person approaches any of the committee members, the member is immediately required to inform other members.
  • A written compliant is required to be taken from the aggrieved person, necessary action to be taken, preferably to settle the matter through counselling and conciliation as soon as possible.
  • In case the matter is not so sorted, inquiry to be conducted and matter to be sorted out within 10 days from the date of compliant.
  • The members to be vigilant all the time and ensure that there is no such incident taking place in campus by creating awareness and having an open dialogue with all the students.
  • To maintain the records of the activities conducted and submit the same to the
    IQAC Committee
